Preventive Maintenance Schedule and Maintenance Report Module for Sentry/Centurion Systems What Sentry9000.PM is and is not. Sentry9000.PM was developed to provide Preventive Maintenance scheduling, repair maintenance activity, accountability, reporting and a knowledge base to assist maintenance functions for smaller food companies. It is not designed to inventory spare parts, process work orders, affect a cost center, purchasing, graphics and other unique properties found in many of the expensive, inclusive maintenance programs available today. Record Keeping Records of maintenance are kept to assure that preventive maintenance is conducted, when and what repair work is performed and who does all this work. Smaller plants have the burden to provide this data on paper. A date file and a calendar schedules the PM's to be done. A daily work report keeps track of the repair work done by each employee and the parts used to execute the repair. A parts log is maintained for purchases. There are many pieces of paper that tie the record keeping section of the maintenance team together. Unfortunately, there is not usually a person assigned to take care of all that clerical work. It falls on the Supervisor and the employees to insure that they cross the "t;s" and dot the "i's". Maintenance is hands on and this type record keeping is hands on. There is little to help the transition of the data from the occurrence to the paper to the file and to a review that provides an answer to trends, or specific developments. Sentry9000.PM Configuration The basis for the Sentry9000.PM configuration is describing the asset, the type if designation is used, the location of the asset and the vendor. From this comes the scheduled PM time, approximate costs and time and responsible employee. The act is automatically scheduled and displayed a week at a time. There is a Report and Incident procedure when repairs are required. The repair is scheduled with the appropriate information. Completion of tasks allow inputting data for actual costs, actual time and any comments such as parts numbers, part vendors used, etc. All this data becomes part of a knowledge base that keeps track of all the maintenance performed on an asset. This allows a record of trends to be reviewed as well as providing information as to what was done previously to fix the problem. Reports & Log There is a report of the past seven days PM tasks accomplished and a report of the next seven days of PM tasks to be accomplished. A log exists for each day's work that is accomplished both for PM and for repairs. PM Scheduling PM scheduling for a piece of equipment is performed when the asset is added to the program. A pull down menu offers the frequency-daily, weekly, monthly, semi-annually, annually. While a date box is used to enter the start date and he date of the week. The PM for that asset is then automatically scheduled for the frequency entered. It appears in the report for the next 7 days PM schedule and it appears on the web page under Scheduled events. When completed a form is available to enter cost and time and employee and completion of the item. Repair Scheduling and Performance The failure of an asset that will require repair can be scheduled by the click of a button. A form appears and the repair for that asset is scheduled. After completion, the parts used, the parts vendor and other information can be entered. This is used by the knowledge base to create a history for that asset. Knowledge Base The knowledge base is built on accumulated data from employee input on each piece of equipment as repairs and PM occur. The asset can be searched and all work and comments are available for review. This can provide data for trends among certain pieces of equipment, failure rates and how it was repaired at the last failure. Daily Activity A calendar is available to easily retrieve data for a specific date. The date is selected on the calendar, clicked and the home page for that date appears. All the data on that page is relevant to that specific date. Food Safety Audits Another important aspect of maintenance records is the requirement by third party auditors to review PM and repair records when conducting food safety audits. the ability to reproduce the maintenance activity at the press of a keyboard button is a tremendous advantage.
